For first-time event planners organising business meetings and events, there are no doubt a myriad of event-related terms that may leave you searching for the dictionary.  So, we got together with the team at Jurys Inns to outline a few key events buzzwords to help you get to grips with the world of event planning jargon.

Advance Registration

Attendees are able to register to attend before the event, often at a discounted “early-bird” rate.

Agenda

This is your list of what will be covered during the meeting or conference, including speakers, timings and presentations.

Airport Hotel

A hotel located close to a major airport. Great for business travellers. Most airport hotels should have great conference facilities designed for this audience, such as Jurys Inn Aberdeen Airport and Jurys Inn East Midlands Airport.

Banquet Set-Up

A room layout designed to work best for a sit down meal.

Boardroom Set-Up

Rectangular or oval shaped tables set out with chairs on both sides and ends.

Break-Out Session

A small group session which takes place alongside the event, usually for discussion groups, workshops or brainstorming.

Cabaret Style

Seating planned around tables so that no delegates have their backs to the stage or speaker

DB&B

Dinner, Bed and Breakfast.

Day Delegate Rate (DDR)

The rate per delegate, per day based on a full day meeting. This rate at Jurys Inns includes meeting room hire, two AV equipment, WiFi, a flipchart and stationery toolkit, unlimited tea and coffee, mineral water, snacks and lunch.

Floor plan

The is an outline of a space, highlighting electrical points, doors, windows, pillars and other amenities to help you plan how you’ll layout the room for your event.

Group Rate

This is a confirmed bedroom rate offered to attendees attending your event, often discounted if it’s a group booking.

Room Turnover

The amount of time you’ll need to allocate to change the event space around. For example a meeting room set-up, turned over for an evening awards dinner.
